Define which questions it can answer
Opening times, travel directions, service descriptions and published application steps can form part of staff-approved knowledge. Agree who keeps it current and who publishes changes. The actual scope depends on the knowledge and settings for each deployment.
Plan the handover before launch
Missing or conflicting information, complaints, requests needing judgement and callers asking for a person need an agreed follow-up route. Confirm who receives calls, operating hours, failed transfers and out-of-hours arrangements. A transfer button does not by itself complete the workflow.
Keep bookings and payments under staff control
AI does not create, hold, change or cancel bookings, and does not make payments on behalf of callers. AI can make mistakes; confirmations require staff review. Interfaces and text conversations are conceptual examples with illustrative data, not current product screens. A recording player is shown only when a real demonstration recording is supplied.
Validate language support for each deployment
Multilingual support is validated per deployment. Test centre names, local places, programme terminology and realistic background noise. English is the primary demonstration option for the UK site, with Cantonese and Mandarin as secondary options. Export controls, licence terms or provider restrictions may require a lawful alternative model, which must be assessed again; identical performance is not guaranteed.
Explain recording and data handling
Before enabling recording or transcription, agree the purpose, caller notice, access, retention and applicable requirements. The main storage region may differ from the location of a speech or AI provider’s processing. Check both before deployment and consult our security and privacy information.
Ask these questions during a demonstration
- What happens when an answer is missing or wrong?
- Who may change and publish knowledge?
- How can a caller ask for a person, and what if transfer fails?
- Where are recordings and transcripts processed, and by which providers?
